Our client, a fortune 50 company is a global leader in the Energy Financial Systems.

Challenge

Our client's business objective was to improve the time it took to process invoices. Analysis showed that a large gain could be made by automating the invoice approval process. In the current operational state, the approval process was a manual process that was both time consuming and labor intensive. Our solution was to automate this process by integrating a workflow tool into our clients existing J2EE invoice entry application. Not only did this solution promise to improve processing time but it also provided the business with the ability to:

  • Provide tracking and performance metrics.
  • Facilitate compliance to business rules.
  • Maintain an audit trail.

Techlogix was engaged to provide a complete workflow solution and full lifecycle development.

Solution

Techlogix designed and implemented the workflow solution using the webMethods workflow engine. The solution was tightly coupled to the existing J2EE application by embedding the webMethods workflow apis in the J2EE application's customized JSP pages. In the backend integrations were made to the applications Oracle database system to provide an organizational hierarchy. This strategy provided the end users with a:
  • Single graphical user interface.
  • Email alerts with direct links for approval/rejection
  • Escalations emails to managers

Other key features implemented were to provide:

  • A unique "Approval Inbox" for each user wherein they could view any open approvals that are assigned to themSingle graphical user interface.
  • Workflow administrative functions built into the J2EE application to override the workflow approval chain.
  • Ability to switch an invoice from an automated approval to a manual approval state.
 


Benefits


Our client was able to rollout the workflow solution with minimal training effort due to the tight integration with the existing invoice application. Invoice approval time increased substancially due to the use of email notifications and escalation emails. In addition audit information is now collected which provides compliance data and performance data which can be used for further analysis.

Technology


The workflow solution was developed using webMethods Integration Platform 6.5, Bea application server and an Oracle database.
